Practical guide · buying decision

How to choose booking software that fits your restaurant.

The right system depends on how you attract guests, organise the floor and support staff during service. Use these criteria to compare pricing, a demo and a trial with your own bookings.

Start with the problem: acquisition or management.

A marketplace can provide discovery and its own traffic. A direct booking engine manages guests reaching your website or link. Both can coexist, but comparing only the price per booking hides that difference.

List where guests come from: brand searches, social media, phone, website and portals. Ask what each provider contributes and what happens if you keep external channels. Qomanda is management software with its own engine; it does not promise to replace a marketplace’s audience.

Compare total costs using the same units.

Ask about fixed fees, booking or cover commissions, setup, lock-in, per-venue fees and extras. Do not multiply a per-person fee by a booking count: first multiply bookings by average party size.

Example: 100 bookings for two guests at €2 per person total €400, before any fees or taxes. For a flat plan, add the modules and usage you would actually need. Qomanda bookings cost €49/month + VAT; Comandas, SMS and voice are assessed separately.

Test service, rather than just the home screen.

Check an online booking, a phone booking, a date change and a cancellation. Review table assignment, guest history and what a waiter sees on a phone.

Also test a full service or a closed date. If you need kitchen or QR features, assess that module separately and confirm pricing. A demo provides context, but your own plan and pace reveal whether the workflow fits.

Check migration, support and your exit options.

Before switching, confirm what the current system can export and what the new one accepts. Review guests, future bookings, notes and formats. A contact CSV is not the same as a complete booking history.

Ask who supports setup, how to report issues and what happens if you cancel. Define the transition date and which tool controls availability during overlap. Write the decision down so staff follow one rule.
